Welcome to Embleholics. These Terms & Conditions (“Terms”) govern the purchase of custom products and the use of our services. By requesting a quote, approving artwork, submitting payment, or placing an order with Embleholics, you agree to be bound by these Terms.

As every product we manufacture is custom-made to your specifications, we encourage all customers to carefully review these Terms before placing an order.

1. Custom Manufactured Products

Embleholics manufactures custom products including, but not limited to:

  • Challenge Coins
  • Belt Buckles
  • Keychains
  • Bottle Openers
  • Lapel Pins
  • Patches
  • Medallions
  • Promotional Products
  • Other custom metal and embroidered products

Every order is manufactured specifically for the customer and is considered a custom order.

2. Quotations

Unless otherwise stated in writing:

  • Quotes are valid for thirty (30) days.
  • Pricing is based upon the specifications contained in the quotation.
  • Any changes to quantity, size, artwork, plating, packaging, or product specifications may require a revised quote.
  • Prices are subject to change after the quote expiration date due to fluctuations in manufacturing, shipping, tariffs, or material costs.

3. Artwork & Design Approval

Embleholics provides complimentary artwork with qualifying orders.

Before production begins:

  • Customers may request revisions to artwork.
  • Production will not begin until written artwork approval has been received.

By approving artwork, the customer confirms that all aspects of the design are correct, including but not limited to:

  • spelling
  • grammar
  • dates
  • dimensions
  • colors
  • fonts
  • logos
  • placement
  • edge styles
  • orientation
  • plating
  • packaging
  • product specifications

Once artwork has been approved, Embleholics is not responsible for customer-requested information that is later found to be incorrect or omitted.

4. Color & Finish Variations

Digital proofs are intended to represent the final product as accurately as possible.

Due to differences in:

  • metal finishes
  • enamel application
  • UV printing
  • embroidery
  • monitor calibration
  • lighting conditions
  • manufacturing processes

slight variations in color, finish, texture, and appearance are normal and are not considered manufacturing defects.

5. Deposits & Payment

Unless otherwise agreed in writing:

  • A 20% deposit is required before production begins.
  • Remaining balances are due according to the invoice.
  • Approved customers may receive Net 30 payment terms.
  • Orders may be delayed or withheld until payment obligations have been satisfied.

Customers are responsible for all reasonable collection costs, interest, and attorney fees permitted by law for unpaid invoices.

6. Production Schedule

Production begins only after:

  • artwork approval;
  • deposit requirements have been satisfied; and
  • all required order information has been received.

Typical production time is approximately 45–50 days.

Production times are estimates only and are not guaranteed.

Manufacturing schedules may be affected by:

  • holidays
  • customs inspections
  • shipping delays
  • weather
  • supply chain disruptions
  • force majeure events
  • unusually large or complex orders

7. Shipping

Customers are responsible for providing accurate shipping information.

Embleholics is not responsible for delays caused by:

  • shipping carriers
  • customs processing
  • weather
  • natural disasters
  • incorrect shipping addresses
  • governmental actions
  • circumstances beyond our reasonable control

Risk of loss transfers to the customer once the shipment has been delivered to the carrier.

8. Shipping Damage & Claims

Customers should inspect shipments immediately upon delivery.

Any shortages, visible damage, or shipping-related issues must be reported within five (5) business days of delivery.

Customers should retain all packaging materials when filing shipping claims.

While Embleholics will reasonably assist customers in resolving carrier claims, approval of shipping claims remains solely at the discretion of the shipping carrier.

9. Manufacturing Tolerances

Because every product is custom manufactured, slight variations may occur.

Acceptable manufacturing tolerances include minor differences in:

  • plating
  • enamel depth
  • color shade
  • dimensions
  • alignment
  • casting
  • polishing
  • surface texture

These variations are inherent to custom manufacturing and do not constitute defects.

10. Molds & Dies

Embleholics proudly provides free molds and dies on most qualifying orders.

Unless otherwise agreed in writing:

  • Molds and dies remain the property of Embleholics and/or our manufacturing partners.
  • Tooling is retained to facilitate future reorders.
  • Molds are generally retained for up to five (5) years from the date of the last production order.
  • After extended inactivity, molds may be retired or destroyed without notice.
  • If a mold is unavailable for a reorder, a new mold fee may apply.

11. Reorders

Customers may reorder previously manufactured products provided the tooling remains available.

Reorders using the original design generally:

  • do not require a new artwork fee;
  • do not require a new mold fee if tooling remains active; and
  • are subject to current production pricing.

Changes to artwork, dimensions, plating, shape, text, or construction may require new tooling and additional charges.

12. Order Changes

Once production has begun, changes to:

  • artwork
  • quantity
  • finish
  • shipping method
  • packaging
  • product specifications

may not be possible.

If changes can be accommodated, additional costs and production delays may apply.

13. Order Cancellation

Because every order is custom manufactured, cancellations cannot generally be accepted once production has begun.

If cancellation is approved, the customer remains responsible for all costs incurred, including but not limited to:

  • artwork
  • tooling
  • manufacturing
  • materials
  • freight
  • administrative expenses

14. Overruns & Underruns

Custom manufacturing may occasionally produce slightly more or fewer units than ordered.

Unless otherwise agreed:

  • quantities within ±5% of the ordered amount constitute fulfillment of the order.

Customers will only be invoiced for the quantity actually shipped unless otherwise specified.

15. Customer-Supplied Artwork & Intellectual Property

Customers represent that they possess all rights necessary to reproduce any submitted artwork, logos, trademarks, insignia, or copyrighted material.

The customer agrees to indemnify and hold harmless Embleholics from any claims arising from unauthorized reproduction of submitted materials.

Embleholics reserves the right to refuse any order that may violate applicable intellectual property laws.

16. Military, Government & Trademarked Artwork

Customers are solely responsible for obtaining authorization to reproduce:

  • military insignia
  • government seals
  • department logos
  • corporate logos
  • collegiate logos
  • law enforcement emblems
  • trademarks
  • copyrighted artwork

Submission of artwork constitutes the customer’s representation that all required permissions have been obtained.

17. Tariffs, Duties & Government Surcharges

Quotes are based upon manufacturing costs known at the time they are issued.

If government-imposed tariffs, import duties, customs fees, or similar charges materially increase after a quote has been issued but before shipment, Embleholics reserves the right to adjust pricing or request payment of those additional costs prior to delivery.

Whenever reasonably possible, customers will be notified before such adjustments are applied.

18. Satisfaction Guarantee & Warranty

Embleholics is committed to producing products that substantially match the approved artwork.

If a verified manufacturing defect exists, customers must notify Embleholics within 30 days of delivery.

Upon verification, Embleholics may, at its sole discretion:

  • repair the products;
  • remake the products;
  • issue a partial refund;
  • provide account credit; or
  • offer another reasonable remedy.

This warranty does not cover:

  • customer-approved artwork errors;
  • normal wear and tear;
  • misuse;
  • improper storage;
  • accidental damage;
  • exposure to chemicals;
  • natural aging of finishes;
  • minor manufacturing tolerances described in these Terms.

19. Photography & Marketing

Unless confidentiality is requested in writing before production begins, Embleholics reserves the right to photograph completed products and use those photographs for:

  • website galleries
  • catalogs
  • advertisements
  • social media
  • printed marketing
  • trade shows
  • promotional materials
  • portfolio purposes

Embleholics will make reasonable efforts not to disclose confidential customer information.

20. Confidential Projects

Customers requiring confidential manufacturing must notify Embleholics before production begins.

Upon written request, Embleholics will not intentionally display or publicly market completed products associated with confidential projects.

21. Limitation of Liability

To the fullest extent permitted by law, Embleholics shall not be liable for:

  • indirect damages;
  • incidental damages;
  • consequential damages;
  • special damages;
  • lost profits;
  • business interruption; or
  • loss of goodwill.

Embleholics’ total liability for any claim shall not exceed the amount paid by the customer for the specific order giving rise to the claim.

22. Force Majeure

Embleholics shall not be liable for delays or failure to perform caused by circumstances beyond its reasonable control, including but not limited to:

  • acts of God
  • war
  • terrorism
  • labor disputes
  • pandemics
  • governmental actions
  • customs delays
  • transportation interruptions
  • utility failures
  • natural disasters

23. Website Content

All content appearing on the Embleholics website, including text, graphics, photographs, logos, artwork, designs, and product images, is the property of Embleholics or used with permission.

No content may be copied, reproduced, modified, or distributed without prior written consent.

24. Privacy

Customer information is used solely to:

  • provide quotations;
  • process orders;
  • communicate regarding projects;
  • fulfill contractual obligations; and
  • improve customer service.

Embleholics does not sell customer information to third parties.

25. Governing Law

These Terms & Conditions shall be governed by the laws of the State of Washington, without regard to conflict of law principles.

Any dispute arising from these Terms or any transaction with Embleholics shall be brought exclusively in the state or federal courts located within the State of Washington.

26. Severability

If any provision of these Terms is determined to be unenforceable, the remaining provisions shall remain in full force and effect.

27. Changes to These Terms

Embleholics reserves the right to update or modify these Terms & Conditions at any time.

The version in effect on the date an order is placed shall govern that transaction.
